5 Steps to Creating a Staff Meeting Agenda in MS Word
Step 1: Create a New Document in MS Word
Although you can use any document editor to create this agenda, we are going to use MS Word for this example because it is the most popular. Give the title ‘Staff Meeting Agenda’ and then save the document as sma_[date of the meeting].docx. This kind of file naming scheme will help you stay organized.
Step 2: Provide Basic Information Related to the Meeting
Next, you need to write down the various small but key information related to the meeting. Mention the document number, the venue of the meeting, the date, the time and the list of people requested to attend. It is preferable that all this is mentioned on the top sheet so that it is easier to find the correct one when in a hurry. Step 3: Create a Table
Next, create a table with five columns. Give the heading of the first column as ‘Time Allotted’ followed by ‘Agenda/Item/Goal’, ‘Description’, ‘Person Responsible’ and finally ‘Decision Made/Follow-up Needed’. The first column is assigned to note the approximate amount of time to be dedicated to each of the agendas. The next two columns are quite self-explanatory. Step 4: Assign the Tasks
Under the ‘Person Responsible’ column, the name of the person who is going to perform the task is to be entered. This will give the people who have been assigned the tasks to think about the best possible way to get the job done. The final column is quite self-explanatory. Step 5: Get It Approved
Once all the columns minus the last one is filled up the document needs to be approved. Any person who is in charge of this meeting needs to sign this document. This can also be done after the last column has been filled up. Then all the attendees need to sign the document acknowledging the fact that they accept the responsibilities.
