If you’re going to have a couple of team members who will be helping you out with a certain project or task that might require days to do, then that would mean that all of you will have to come up with a proper schedule that will outline what needs to be done and when.

This would meant that you’re going to have to come up with a group schedule that will contain all of the information you need for everyone in the group to obtain everything they need. This article is going to focus on how you’re going to create this particular type of schedule.

Factors that Will Affect Your Group Schedule Template

Let’s say that you’ve decided to come up with a sports event, but there are a couple of things that need to be done before everything can take place. You want to make sure that everyone involved in the event acts as a collective unit and understands what needs to be done. This is basically what it means to come up with a group schedule. However, there are some factors that you’re going to have to take note of as they can have a huge impact on the schedule that you decide to make.

The Project Being Undertaken

This is the main reason why you’re even creating the group schedule in the first place. The kind of project that you’re basing your schedule out of will determine the duration of the entire thing until its completion. Because let’s say that it’s a school project wherein you have to create something for the Science fair. On average, this would take around two to three weeks tops. Just remember that not all projects will take the same amount of time to finish.

What may take you two to three weeks for a simple school project might take you even longer if it’s one for a business. You must have a complete understanding of what you’re trying to conduct so that you will be able to understand the timeline that will allow you to create the group schedule.

The Activities That Will Take Place

This is another factor that will determine the amount of time it’s going to take for you to complete a project. Remember that not all projects are going to be the same. Any project that you’re going to do will have its own procedures, as well as its own tasks that need to be done in order for the project to be complete.

This is the reason why you need to have a complete understanding of the project as knowing the kind of activities that it’s going to take to complete it will have a huge effect on the group schedule you’re going to make. Be sure that you allot time for each activity until its completion so that you won’t be experiencing any problems. Also, be sure that you allot extra time in the schedule as you’ll never know when something might happen that could hamper the project’s progression.

The People Working on the Project

Now, this is something that you’ll have to carefully consider. The people that you’re going to choose to take part in completing the group project might determine whether everything takes place right on schedule, or if a couple of things are going to be behind. You must learn to properly choose the right people for the job, as well as assign these people to tasks that are best suited to them.

What you can do is conduct a simple performance assessment on them to see their current level of skill and knowledge (This is assuming that you have free reign on who you want to have as partners for the project, of course). Once you’re able to determine those that you think are right for the job, then take them on as group partners and assign them each a task that best suits their current level of abilities. Knowing that these people are able to handle what you’ve assigned them will help ensure that you’re able to complete the project on time with the schedule that you have set up.

The Location of Where Everything Will Take Place

The only reason why this matters in a group project is because there might be some wherein you have to do extensive research on a certain location or one wherein you’re required to conduct certain activities at a specific spot. By knowing the location of where you’re going to hold the project or do certain tasks that will help in its completion, then you should be able to map out what needs to be done in the schedule.

Also, you need to be able to scout out these locations well ahead of time because you’ll never know when these places might be closed off due to issues such as drastic changes in weather, someone already reserving that spot, or simply because this area isn’t open during the hours that you might need them. It’s always best to have a backup location in the event that the ones that you have chosen don’t turn out to be available.

Breaks

Remember that you and the people in your group are not machines. All of you are going to have to rest at some point during your activities. This is the reason why you’re going to have to come up with break schedules so that everyone in the group will have time to rest before tackling the next part of the project.

Be sure that the amount of breaks that you’re going to place in the group schedule is just enough for everyone to catch their breath, but not to the point where it’s too much where everyone will just end up lazing around and doing nothing. Remember that there’s still work to be done.

The Advantages of Having a Group Schedule

If you’re going to come up with a group schedule, then you should know that there are definitely going to be some benefits depending on how you go about creating your schedule.

So, here are some things that you’ll definitely benefit from in having a well-made group schedule.

You’ll be Able to Keep Track of the Activities of Your Group Mates

Considering the fact that these people are going to have to pull their weight with the tasks that they have been assigned with, you’l be able to see if they’re keeping up with your schedule. So once you’re at a particular day, check the tasks that needs to be done for that day alone. Then once you’ve understood everything that needs to be done by that day, go and ask your teammates if they already completed on the previous task and if they’re already going to start on the ones for this particular day. If they say yes, then you shouldn’t be worried about anything as it’s all going according to schedule. It’s even better if they did the work ahead of time and start on the other activities as it might just mean that you’ll finish ahead of schedule; and that’s always a good thing.

However, if the opposite were to happen, then that’s where you’ll have some problems. It’s either you and your team push through the day to finish the current as well as the previous tasks that have yet to be finished, or you might have no choice but to then delay the completion of the project until everything can be done right.

It will Ensure that Everyone Knows What to Do

Everyone—that includes you—won’t have any excuse in the event that they say that they were not able to do what they were tasked with in the schedule. So long as it’s pretty much clear in the schedule as to who needs to do what and when, then there really shouldn’t be any problems when it comes to these tasks being completed according to their schedules. Just make sure that everyone is able to do their jobs and see to it that they stay on track.

You Can Change it if There Are Problems

It’s obvious that you can’t expect everything to follow the schedule—that’s a bit too unrealistic. There are going to be a few hiccups here and there, but that means you can still edit the schedule in the event that these happen. Just make sure that everyone in the group is aware of these changes so that they’ll be updated on what has changed.
