The Leave Letter
The leave letter could be for a number of reasons. One can even send a leave letter because he just wants to be absent and does not feel the job anymore. If one is creative with his writing, he can fool the HR Manager but that is not being honest and therefore should be avoided no matter how tired you are. You can just state that you are not feeling the job anymore and may request for a career talk with your supervisor. Sometimes it is good to ask for some kind of motivation to work and be reminded why you are actually there. That is why in some other companies, they usually have seminars where they will invite a speaker to talk about how to regain the energy to work, team building and etc. A letter can send a signal to the manager if others are also following what you are doing and they might fix this problem as early as they can before it is too late. The Parts of a Leave Letter and How to Construct One
If you have fully understood the meaning and the purpose of a leave letter, it is time now for you to know the parts of this kind of letter. A leave letter is basically another type of business letter and if you have seen the structure of a business letter, its parts are the same as with a leave letter with the content only making the difference between both letters. But if you haven’t seen an example of a business letter, then this will be useful to you and make sure you take note of it so that you would not forget the parts and their meaning and purpose. For those who are already familiar, you may choose to skip this part or better, learn again if you want to. Looking for more insights? Dive into our blog post about request letter templates.
Here are the parts of a leave letter or any kind of business letter for that matter:
1. Heading
The first part of the letter is its heading. It specifically mentions the returnee’s address and the date the letter is being sent to the receiver. You also have the choice to put your contact number or email address in the letter. Find more Letter Format Templates by visiting this link.
2. Inside Address
This part is made up of the complete name of the receiver. Make sure you get that right and also put his or title in the company. Label him or her as the CEO, Manager, HR Manager. Afterward, you write or type his or her office address and make it specific to what floor or department he or she is in the building. View a wider selection of Creative Letter Templates right here.
3. Greeting
This part of the letter is sometimes called the salutation. This is simply the part where you would give a greeting to the receiver. We are providing some of the most common greeting card examples being used in the workplace in sending their business letter. If you do not like the examples, you can search the internet for more examples of a salutation that you can put in your letter. You can also find a wider variety of leave letters in Pdf format on our official website at template.net.
These below are the often used salutation by employees in their respective companies:
- Good Day!
- Greetings!
- Dear Mr/Mrs.
- Good Morning…
- Good Afternoon…
- Good Evening…
4. Body
In this part of the letter, this is where you start writing your intentions. In order to avoid wasting the time for the one reading, state your intention at the beginning of the letter. Ask to have your leave approved because of a valid reason. When you write a long letter with a simple purpose, the manager would be annoyed by that. If you are requesting a leave on a holiday because you have already planned a family vacation or some other important and meaningful occasion, state it. It is important, to be honest, and genuine in writing any request letter. Make him or she feel that you need a break just for once to cool off and recharge. If your supervisor, for example, has approved of your request, state that in your letter with his or her signature being imprinted. Be specific always but be straight to the point. Remember that this is a business letter and not a love letter so avoid many adjectives. Below is an example of a Leave Letter request.
“Dear Mr. Que,
I am writing this letter requesting a leave in the working holiday this coming December 15 to December 17, 2022. The reason for my request is because I have to attend to my brother who has been in the hospital for 1 week already. He recently had his brain surgery yesterday and my family would want me to be there for him starting next week.
Currently, I am still doing the tasks you have assigned me to do but I can assure you that this will all be done 2 days from now. For the team project, we are also almost finished and might be done at the end of the day.
If ever you approve my leave, I will still be checking my email from time to time when I am in the hospital to ask my team if there are any feedbacks from our clients. You can contact me through my email or through my cell phone number.
I am hoping for your kind consideration an I apologize for this short notice.”
5. Complimentary Close
By this section, you will be giving one word or two phrased where you say your good bye. This is after you are done writing your body or the content of the leave letter request. Here are the most commonly used complimentary close lines: Explore a variety of Professional Letter Templates here.
- Sincerely,
- Sincerely yours,
- Best Regards,
6. Signature Line
To finally put ownership of the content that has been written and formed by you, affix your signature to your name. After that, you approach an HR staff who is responsible for sending request letters and do not forget to ask the date you might get a response. This will let you know if you would get a response quick or late due to the HR manager who might be absent in the coming days ahead or on the day you submitted the letter. Some causes of delay are the paper works and responsibilities that the HR Manager has to attend to.
Those are the parts of a business letter. The body of a request letter varies from reason to reason but always remember to keep it short and simple. Get to the point and be specific even if it is not a request letter format. Check everything before even printing and most especially before you actually pass it. An error is not only embarrassing but it can give a bad impression of you in a way. Make sure your punctuations and grammar are correct. If you have little confidence in that, better let someone else read it or someone who is good or a master of the English grammar to save you from embarrassing yourself. You have to make those efforts and also, try to learn if they teach you how to write properly.

2. Do your hobbies again
Have you ever had a hobby before where you enjoyed so much but now, don’t seem to have the time to do it because of work? If you are in your leave, you can actually go back to it. If that particular hobby cams you too, do it. Anybody would do as long as you have the money or the materials for it. 3. Travel
They say that traveling makes you a smarter a person due to the fact that you can be exposed to different cultures, food, sites and etc which can be additional information. Travel as much as you can because it is one way for you to live your life to the fullest and you are not limited to your own hometown. If you have enough, go out of the country and explore and learn the people and its history.
We advise you to bring a camera and capture your traveling moments. 4. Be with friends
Be with people whom you haven’t seen a while but had the best memories with. You can always have a plan for them to hang out at least twice or 5 times a year knowing that you guys do not have the luxury of time to hang out after work. Talk to them about your frustrations of work or from your personal life. Make sure that these friends of yours are the ones that truly listen and understand what you are feeling and what you are going through. Browse through more Academic Letter Templates here.
Being with people who understand you and have shared great memories with gives you a great sigh of relief and a comfortable feeling you have missed since the time you guys started to depart away from each other. Make that moment count because you would never know when they will all be available again for another catch-up plan. You can not only have this over a cup of coffee, but you could also go to the beach together. That is twice the fun. You may also see Reference Letter Samples.
5. Do lazy but effective activities
What we mean by this is that if ever you are not an adventure junkie, you can choose to sleep it out or have a message to soothe your body and release the stress hormones via that treatment. In a sense, reward yourself through relaxing. When you want to have a massage, make sure you go to the best but also consider your budget into it. Do not go all out in pampering yourself when it already has a risk of wasting your money. Pamper your body as much as possible so that it might have enough energy to contain stress when you go back to work. Take care of it because it is a part of you. 6. Reflect at the end
Do this before you go to sleep. Remember what you had done for the day and be aware of what you will feel recalling them. Start your thoughts on what you did in the morning, what you ate, what you did and etc. If you can, you may write all those things in your personal journal so that you might be able to save those memories and go back to it in another time when you are probably a bit older and wiser. Once you are done recalling what you did, ask yourself if that was enough or if it was lacking a little bit more. If you think that that was enough, then congratulations, you have just completely lived your holiday leave to the fullest and made most out of it. If not, ask yourself what was lacking in your day that could have made it worthwhile. For more information on this topic, check out our detailed guide on recommendation letter templates.
Think hard by finding in within yourself and once you do find that lacking thing, take note of it. Remember what was lacking and put it in your journal that you will do this specific activity next time you get the chance to have a leave, vacation or holiday leave from the office. Once that day comes, do it and see if it was the one thing that was missing in the past holiday you had. Remember to reward yourself for the hard work but do not bring it to the point that you might become so lax and little by little, resists responsibilities and tasks that are given to you by your supervisor. When you are done reflecting, take a last look at the happiest moment that happened in your “vacation” and then slowly and calmly go to sleep with the mindset to be great at work the next day. Looking for more insights? Dive into our blog post about vacation letter templates.
Those 6 activities are generally the things you can do to make your holiday leave more effective. Imagine that you work 5 to 6 times a week for 8 to 9 hours, don’t you think your body deserves the reward and rest it needs? Working hard might give a good impression from your supervisors and bosses but you have to also try to listen to your body and mind and do something about it before you might get hit by something bad like getting sick easily and having fatigue. These two things will affect your performance along the way slowly. To explore similar content, visit our article on performance letter templates.
If you won’t attend to that concern you will find yourself losing your job because of a poor job performance report and your motivation would be gone. Rest from time to time and especially if you feel like you have lost your will to work. Make sure you make your leave letter as valid as possible. If ever you have an understanding manager or supervisor, he will grant you that leave. Just make sure that when you come back, you will perform in top shape again and make him not regret his decision in approving your request for a leave through the letter.
