6 Steps to Create an Effective Management Policy
Step 1: State the Purpose
The first portion of the document should state why a management policy is necessary. It should explain what are the various problems that could occur in the absence of management policy. Discuss the various risks involved. Finally, explain how a proper management policy can effectively minimize the dangers.
Step 2: Scope and Definition
There are usually separate teams dealing with the various incidents and each of them has separate though somehow similar incident management policies. So a management policy should mention its scope and define the various terminologies associated with the particular incident and explain what is part of the policy and what is not.
Step 3: Reporting
It is the job of every employee to report an incident and the management team is supposed to assist him in letting the correct authorities know about the situation. The employee should also cooperate and tell the authorities everything he knows about the incident so that the information can be used to properly target the problem creating the situation.
Step 4: Investigation
Once the reporting is complete it is time to investigate the nature of the incident as well as various other details related to the incident. Suppose client data has been leaked, it is necessary to find out how that happened, who are the people responsible for it, etc. In other cases, it is also necessary to know whether there is going to be any legal consequences.
Step 5: Response and Review
Once the incident has been acknowledged, it needs to be acted upon. The response section should deal with the protocol that needs to be maintained while responding to the situation. All the actions taken in response to the situation needs to be recorded. Later the situation needs to reviewed and preventive measures should be taken so that this does not happen yet again.
Step 6: Document Version and Approval
If an incident occurs it is a good time (no the only time), to update the policies. That is why there can be multiple versions of the policies each having some sort of incremental update. Once the changes are made the document containing the policies should be approved by the proper authorities and signed by them.
