5 Steps to Create a Meeting Schedule in Microsoft Word
Step 1: Create a New Word Document
Create a new document in MS Word. If you don’t have it on your computer or you prefer some other document editor, it’s totally fine. The steps are going to be the same for each case. Give the document a title: ‘Yearly Meeting Schedule’. Save the document as yms_[current year].docx.
Step 2: Download the Year’s Calendar
Next, you need to download a calendar. If you can get something that has the months as separate files that will be great. Else we could also make use of a single file as well. We just have to crop to every month and save them separately ourselves. But make sure that all the months have the same theme. Don’t download January from one month and April from another. Insert the calendar month image to the left.
Step 3: Insert a Table
Next, we shall insert a table and align it to the right. The table should have three columns. The headings for the columns should be ‘Date’, ‘Time’ and ‘Meeting’ respectively. Change the color of the title and the headings to match the color of the calendar. The reason for doing this is because we want to make the calendar look like a part of the document itself. Repeat the process for every month. Enter as many rows in each table as needed.
Step 4: Enter Notes
If there is something important related to the meeting an attendee should be aware of writing that down in the notes section. The notes section can be present at the end of all the tables. But it is preferable to have separate notes for separate months included at the bottom of each table. That way a person will be spared from having to constantly look at the bottom of the document for possible references.
Step 5: Enter Details of Your Company
The last step is an optional one that you can consider following if you are going to be sending it to the concerned party through mail or otherwise. Here you just need to include the details of your company like the name, address, contact number, etc. Following this step is not required if you are just going to be pinning it to the noticeboard.
