Whenever you have called a gathering, or you are expecting to deal with a crowd of people one-on-one, a Sign In Sheet Template is the way to passively track head count. This will then be useful for documentary purposes or any follow-up actions to do with the participants.
For this reason, your sign-in sheet should also include any of the following details that will help the records:
- Date and time of meeting (sometimes even venue)
- Chairman or overseer, as applicable
- Contact information of participants (for seminars and such)
The nonnegotiable details of any sign-in sheet is simply just the participant’s name. This is why many informal, disorganized meetings will involve a scrap of paper being passed around for everyone to sign their names in.

When to Keep Sign-In Sheets
You will need a sign-in sheet for certain scenarios:
- Mandatory office meetings and other formal staff gatherings
- Club meetings where attendance is prerequisite to membership

Information centers and other service locations (public libraries, private archives, school counselor offices, hospital visitation rooms, hotels, certain boutiques, etc.)
