The Definition and the Parts of a Sick Leave Letter
So what is a sick leave letter? A sick leave letter is a kind of business letter where one would request to abstain or be absent from work for a period of time due to an illness. The employee would normally go back to work if he or she has fully recovered from his or her illness. It is a letter that is sent to the manager, HR personnel or whoever is in charge of accepting or rejecting requests in the company. After the employee has recovered and is now ready to work in the next day, he or she must submit a medical certificate as proof if ever such illness was severe. This is applicable to employees who were absent from work more than a week.
If you have fully understood the purpose of a sick leave letter, let us now go to the parts of it. Remember that this is another kind of business letter. This means that its parts are the same as the content only being the difference.
1. Date
The very first thing you should put in your letter is the date you intend to send the letter to the receiver. Make sure you actually send it on the specific date.
2. Inside Address
For this part of the letter, you have to write the receiver’s full name and his or her title in his office. You have to identify if he or she is the manager, boss, CEO, HR Manager, or supervisor of a particular department in the office. Afterwards, you would write his or her office address and include what floor she is in and what department.
3. Greeting
In this section of the letter, this is where everything basically starts. Before you ever converse with someone politely, you usually give a greeting first. That goes in making a letter in work. The only difference is that your greeting has to be formal. Below are some of the most commonly used greetings by employees in the workforce. If you are not satisfied with our examples, you can choose to look over on the internet for more information from different sources:
“Greetings Mr…”
“Greetings Mrs…”
“Good Day!”
“Good Morning!”
“Dear Mr…”
“Dear Mrs…”
“Good day Mr…”
4. Body
This part of the letter is where you finally type in your purpose for submitting the letter to the manager in the first place. Your request or purpose must already be stated by the first or second sentence of your letter in the first paragraph and make it as simple as possible. This is for the receiver to read with ease because he or she would not be hassled in reading a long letter. It is bad enough if you make a complex and long letter full of adjectives with the purpose being so simple and so small. If you submit a long letter, the reader might get frustrated at you for writing a long one rather than just simply going to the point in the first sentence. Put yourself in the receiver’s shoes once in a while and think of the many responsibilities he or she has to complete within a day and think of how your letter could affect and waste his time.
Right now, we will be providing you a sample of a sick leave letter. Take note that you can use our example and just remove the information that does not reflect your reason for sending a sick leave letter. You can also expand our example for your own benefit:
“Dear [Boss’s/HR Manager’s Name],
I am sending you this letter to request for a sick leave tomorrow. I have been having headaches and a severe fever for three days already and it has affected my job performance. I was not able to submit my tasks on time. I might come back the day after tomorrow, May 24, 2019, depending if Iegt enough rest and heal fast.
If you ever approve my sick leave, I will still be checking my email from time to time if ever my team has a problem or has some queries. Rest assured that they promised me that they will be doing most of the work for the upcoming event in 4 days time. I will be monitoring them from time to time.
If you have any questions or queries, you can just contact me through my email or my cellular number.
Thank you and I am so sorry for this short notice.”
As you can clearly see, I had put the purpose and reason for my sending of the letter at the first and second sentence of the first paragraph and just adding some more details afterward yet keeping the letter short and simple as possible.
5. Complimentary Close
This part of the letter is where you formally say goodbye to the receiver. Below are some of the most commonly used one to two word phrased complimentary close to end the letter. Again, you can also search the internet for more sources and examples:
“Yours truly,”
“Cordially,”
“From,”
“Sincerely yours,”
“Best wishes,”
“Regards,”
“Best Regards,”
6. Signature
This is the last part of a business letter in pdf. It is here where you would affix your signature on your complete name to show that you are responsible for any information written in the letter and that you will be held accountable if there are misleading facts or legal issue involved.
