Job Summary:

We are seeking a detail-oriented and organized Administrative Assistant to provide administrative support to our travel agency team. The ideal candidate will possess strong communication skills, excellent time management abilities, and a passion for travel.

Key Responsibilities:

  • Provide administrative support to travel consultants and management team, including answering phones, managing emails, and handling correspondence.

  • Assist with travel bookings, including flights, hotels, tours, and transportation arrangements.

  • Prepare and process travel documents, itineraries, and invoices accurately and efficiently.

  • Maintain client files and records, ensuring all information is up-to-date and organized.

  • Coordinate meetings, appointments, and travel arrangements for staff as needed.

  • Assist with office management tasks, such as ordering supplies, maintaining office equipment, and organizing files.

  • Handle customer inquiries and provide excellent customer service in person, over the phone, and via email.

  • Assist with marketing initiatives, including social media updates, website maintenance, and promotional activities.

  • Perform other administrative duties and special projects as assigned by management.

Qualifications:

  • High school diploma or equivalent; additional education or training in office administration or travel and tourism is a plus.

  • Proven experience in an administrative support role, preferably in the travel industry.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software.

  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.

  • Strong attention to detail and accuracy in data entry and record-keeping.

  • Exceptional communication skills, both written and verbal.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Knowledge of travel booking systems and software (e.g., Sabre, Amadeus) is an asset.
