I. Introduction

This Holiday Leave Plan outlines the guidelines and procedures for requesting and granting holiday leave within our organization. The policy ensures clarity and consistency in managing holiday time off, benefiting both employees and management. By establishing clear protocols, the plan aims to provide fair and equitable treatment of all staff members seeking holiday leave, while also maintaining operational efficiency.

II. Eligibility

A. Employee Categories

All employees, regardless of employment status, are eligible for holiday leave. This includes:

  • Full-Time Employees: Employees scheduled for a minimum of 40 hours per week.

  • Part-Time Employees: Employees scheduled for fewer than 40 hours per week.

  • Temporary Employees: Employees hired for a specific project or duration.

However, probationary employees must complete a preliminary review period before being eligible for holiday leave.

B. Probationary Period

Employees on probation must complete a probationary period of three months from the date of hire before requesting holiday leave. During this time, employees will receive orientation and training on company policies, including the Holiday Leave Plan.

III. Leave Entitlements

A. Full-Time Employees

Full-time employees are entitled to 10 paid holiday leave days per calendar year. These days can be taken during recognized public holidays or at the employee’s discretion, subject to the request and approval process.

B. Part-Time Employees

Part-time employees are entitled to holiday leave days pro-rated based on their regular work schedule. For example, a part-time employee working 20 hours per week will receive 5 paid holiday leave days annually.

C. Temporary Employees

Temporary employees may be eligible for unpaid holiday leave, subject to management approval. Eligibility for unpaid leave will be determined based on the length of employment and specific project requirements.

IV. Request Process

A. Submission Method

Employees must submit holiday leave requests using the HR portal or the standardized leave request form available at the employee resource center. Requests can be made digitally or in hard copy.

B. Deadline for Requests

Requests must be submitted at least four weeks in advance of the desired leave start date. This timeframe allows for adequate planning and staffing adjustments to accommodate employee absences.

V. Approval Process

A. Review by Supervisor

The immediate supervisor will review the leave request based on the following criteria:

  • Workload and project deadlines

  • Staffing needs during the requested leave period

  • Employee’s remaining leave balance

Supervisors will strive to accommodate requests whenever possible while ensuring operational needs are met.

B. Notification of Decision

Employees will be notified of the decision within five business days of submitting their request. In cases where additional information is needed, supervisors will communicate promptly to facilitate a swift decision.

VI. Limitations and Restrictions

A. Peak Times

Holiday leave is subject to restrictions during peak business periods, such as the holiday season or major project deadlines, as determined by management. During these times, management may limit the number of employees taking leave simultaneously.

B. Consecutive Leave Days

Employees may take a maximum of 10 consecutive holiday leave days unless otherwise approved by management. Requests for extended leave must be supported by a valid reason and may require documentation.

VII. Record-Keeping

All holiday leave requests and approvals will be documented in the employee's HR record. This accurate record-keeping ensures compliance with company policies and provides a reference for future leave requests. Employees are encouraged to regularly check their leave balance via the HR portal.

VIII. Amendments and Updates

The company reserves the right to amend this Holiday Leave Plan as needed to reflect changes in business operations or legal requirements. Employees will be informed of any changes with a minimum notice period of 30 days. For more information regarding amendments, please refer to the HR Policy Amendment Guidelines.
