1. Purpose

This policy provides a detailed explanation of the procedures that must be followed for managing visitors, to ensure the security and safety of all employees, assets, and information at NeonTech Corporation.


2. Scope

This policy applies to all visitors, including clients, contractors, vendors, and personal guests, entering the premises of NeonTech Corporation, located at 123 Future Blvd, TechCity, Mars Colony 4, MC-56789.


3. Definitions

  • Visitor: Any individual who is not an employee of NeonTech Corporation.

  • Host: An employee responsible for inviting and escorting a visitor.


4. Policy Statements

4.1 Visitor Registration

  • All visitors must check in at the Main Reception Desk, located on the Ground Floor of the NeonTech Corporate Tower.

  • Visitors must present a valid photo ID (e.g., Universal ID, Mars Colony Passport, or Corporate Visitor Card) for verification.

  • Visitor details, including full name, purpose of visit, and host’s name, must be recorded in the NeonTech Visitor Management System (VMS).

4.2 Visitor Badges

  • Visitors will be issued temporary badges with RFID tracking, which must be worn visibly at all times.

  • Badges grant access only to authorized areas and must be returned upon departure.

4.3 Host Responsibilities

  • Hosts must notify reception/security of visitor appointments at least 24 hours in advance through the NeonTech Intranet Portal.

  • Hosts are responsible for meeting visitors at the reception desk and escorting them throughout their visit.

  • Hosts must ensure visitors comply with this policy and the company’s Code of Conduct.

4.4 Restricted Areas

  • Visitors are permitted only in Green Zone Areas, such as meeting rooms and common spaces.

  • Access to Red Zone Areas (e.g., R&D Labs, Server Rooms) requires prior approval from the Chief Security Officer (CSO) and must be accompanied by authorized personnel.

4.5 Confidentiality

  • Visitors are prohibited from photographing, recording, or accessing confidential materials without prior approval from the Legal Department.

4.6 Emergency Procedures

  • In case of an emergency, visitors must follow the instructions provided by their host or security personnel.

  • Visitors will be included in evacuation plans and must gather at Evacuation Point C, located at the south exit of the building.


5. Prohibited Actions

Visitors are not allowed to:

  1. Enter the premises without a host or prior appointment.

  2. Carry weapons, illegal substances, or hazardous materials.

  3. Disrupt workplace operations or violate company policies.


6. Non-Compliance

Non-compliance with this policy may result in the visitor being asked to leave the premises and could lead to legal actions if necessary.


7. Responsibilities

  • Reception/Security Team: Manage visitor check-ins, issue badges, and monitor compliance.

  • Hosts: Ensure visitors are informed and adhere to this policy.

  • Employees: Report any unauthorized visitors to security immediately.


8. Policy Review

This policy will be reviewed annually by the NeonTech Corporate Compliance Team or as required to ensure effectiveness and compliance with applicable laws and regulations.
