Memos have a two-fold purpose: they bring attention to problems and they solve problems. They accomplish their goals by informing the reader about new information like policy changes, price increases, or by persuading the reader to take any action, such as attend a meeting, or change a current production procedure.
Memos, however, are internal and usually only seen by a company's employees. In practice, memos don't include a signature. However, sometimes managers are wise to include their initials next to their name in the header. The purpose of a memo will help dictate whether or not to sign it.
In memos that make requests or announcements, keep the sentence lengths and paragraph lengths relatively short. Sentences should average fewer than twenty words, and paragraphs should average fewer than seven lines. Also, keep the total memo length to under one page, if possible.
A memo consists of two parts: the identifying information at the top, and the message itself. At the top, identity for whom the memo has been written, who is sending it, the subject, and the date. The subject line serves as the memo's title.
The summary is a brief recounting of the entire memo, including discussion/background, conclusions, and recommendation. Its placement as the second section allows a reader who does not need to know the details to stop reading.
