The purpose of a project letter is primarily to define the scope and objectives of a project, and to formalize the agreement between the two parties involved. They play an essential role in the communication plan of every successful project, setting clear expectations and accountability for all stakeholders.
First, the project letter must state the project title, followed by the detailed description of the project which includes its aim, importance, and expected results. Next, the parties involved must be clearly identified, this includes the client, project management team, stakeholders, and other key players.
Lastly, the letter must contain a complete timeline of the project from initiation to completion, detailing tasks, deadlines, and milestones. It should also include the budgets, resources, and any other relevant commitments.
This letter should be signed by both parties indicating their acceptance of the content and commitment to the project.
