INSTRUCTIONS FOR USE: Review each item carefully and mark it as completed once the action has been taken. Adjust and customize the checklist as needed to accommodate specific roles or situations within our organization. Regular review and updates to this checklist are recommended to ensure compliance with current regulations and best practices.

  • Notification of Resignation or Termination: Confirm receipt of resignation letter or issue termination notice. Determine final working day.

  • Schedule Exit Interview: Arrange for an exit interview to gather feedback on the employee’s experience.

  • Review Employment Agreement: Check for any clauses relevant to termination, such as confidentiality or non-compete agreements.

  • Final Pay and Benefits: Calculate final paycheck, including any accrued leave and outstanding expenses. Inform about the end of benefits coverage and provide information on COBRA or equivalent if applicable.

  • Return of Company Property: Collect all company property (e.g., laptop, mobile phone, keys, badges, and access cards).

  • Access Revocation: Remove access to company systems, email, and secure areas. Deactivate accounts and retrieve passwords.

  • Knowledge Transfer: Facilitate the transfer of ongoing work and critical information to another team member.

  • Update Internal Records: Update employee records to reflect departure. Notify payroll and IT departments.

  • Communicate Departure to Staff: Inform relevant colleagues and departments of the employee’s departure in an appropriate manner.

  • Security Briefing: Ensure the departing employee understands their ongoing confidentiality obligations.

  • Acknowledgment of Completed Offboarding: Have the departing employee sign an acknowledgment that all steps have been completed and all company property has been returned.

  • Farewell: Organize a farewell gesture or event to acknowledge the employee’s contribution to the team.
